Job Description
• Ensuring the efficient operation of the Chief Executive’s office
• Assisting the Chief Executive in the preparation of presentation material and reports
• Providing secretarial support for the Chief Executive
• Preparing letters and other documents on behalf of the Chief Executive for approval and signature
• Taking minutes of meetings as and when required but specifically Board meetings
• Co-ordinating arrangements for meetings, including preparation and circulation of agendas, relevant papers and follow up action
• Managing the diary of the Chief Executive
• Screening telephone calls, enquiries and requests for the Chief Executive and dealing with them when appropriate
• Handling e-mail messages and prioritising responses
• Handling correspondence/faxes/messages so that efficient and informative responses can be made. Drafting replies.
• Providing secretarial support to the Chairman and other Board Directors when necessary
• Liasing with the Chairman, Board and Committee members
• Liaising with clients, suppliers and other partners
• Creating staff documents such as Health and Safety, sickness and holiday forms in association with the Chief Executive
• Deputising for the Chief Executive, making decisions and delegating work to others in the Chief Executive’s absence
• Maintain the office holiday book and authorise holiday requests for NISA staff members and recording sickness absences
• In association with the Chief Executive, manage all the Association’s Human Resources requirements
• Such duties as may be reasonably required by the Chief Executive to ensure the overall administration objectives of the Association are met
